1. Introduction to METIS
METIS is a database used for registering scientific results. In the Netherlands, METIS is currently used by 12 universities.
In Leiden, the scientific results of nearly all faculties can be found in METIS.
METIS consists of an input part and an output part. The input part consists of the organisation, departments,
research lines, employees, and optional, research goals, individual contribution to these goals. The publications
form the output part. In METIS it is relatively easy to produce lists of publications. For now, the data in METIS can
only be viewed by registered METIS users/managers. Although not yet used in Leiden, it is possible to make the publications
in METIS publicly available.
2. CML procedure for METIS
The goal for CML is to get sufficient results with as few input as possible. This means that only the
organisational structure (4 departments), 4 research lines (EB,ED,IE,MISC), the employees, and the publications will be
registered.
METIS will be used to generate the yearly publication list and to check the publicationlist
on the website.
In CML, a METIS manager has been appointed, (2003 - 2004: Martijn van Rooijen, since september 2004: Maarten van 't Zelfde),
who will be responsible for the maintenance
of METIS. Each employee will register their publications using the set of registration forms available on
the internet. To
avoid duplications, a publication should only be registered by the first CML author.
The publications should be
entered in English (except, of course, titles if they are in Dutch or French).
Employees are free to register their publications at will during the year, or once a year in January.
All publications of 2003 should be registered before 28 Februari 2004. The forms will be send to the
METIS manager, who
will then forward the forms to the department coordinators and the librarian. The department coordinators will enter
the publications in METIS.
In cooperation with the METIS manager, the librarian will generate a publication list from METIS.

4. Explanation of some of the fields
Authors, editors, and promoters
METIS makes a difference between authors and editors. Authors are the writers of seperate (parts of)
publications, whereas editors revise the seperate parts into one whole. Of course, editors often write parts
in their books such as: introductions, summaries, prefaces, etc. These are considered tasks of an editor,
and will not be counted as seperate publications. However, when an editor writes one or more chapter(s) in
the book that can be qualified as seperate publications, they will be credited seperately for the editing
(by sending a book editorial form) and the writing (by sending a chapter form).
For each author, editor and promoter, it's surname, initials and prefix (NL: achternaam, voorletters en tussenvoegsel)
are required. Furthermore, to oversee the possible double entries in METIS (and of course prevent those
double entries), you are asked to select whether this author or editor works at CML (option CML), at other
departments in Leiden University (option UL), or at other places (option other).
Research field
As said in the introduction, METIS discriminates between departments and research fields. In CML, the three
research departments (EB,ED,IE) have their corresponding research fields (EB,ED,IE). So generally, you can select
the option "same as my department". However, two reasons can cause the research field to differ from your department:
1) The topic of your publication does not fit in your department. Select the research field in which your publication
fits. If your publication does not fit in any research field, choose the option: other/miscellaneous.
2) You work in the central department. The central department doesn't relate to a specific research field. If you work in
the central department, you will have to select a research field for each publication.
Classification
The classification of a publication reflects the status of that publication. Different options are available for
dissertations, and all other publications.
The options available for all publications (except dissertations) are:
- reviewed scientific publication
- non- reviewed scientific publication
- professional publication
- popular publication
- other scientific products.
Scientific publications are those publications that comply to the following qualifications:
1) it describes results from a scientifc study,
2) is aimed at researchers in a scientific domain,
3) is aimed to increase scientific knowledge (they are innovative).
Reviewed scientific publications should not only comply to these qualification, but the publication must also
be reviewed (or refereed). This means the publication is critisised by at least three independent and
anonymous scientists (which are experts in this field). All other scientific publications are considered non-reviewed
scientific publications. Regularly, scientific papers are published more then once with no (or only a few) changes.
In these cases, only the first publication is innovative, and may be called a scientific publication. All other publications
are professional publications.
Professional publications aim to transfer knowledge to a larger, semi-specialised, interest group. Reports resulting
from contract-research are generally professional publications. Other professional publications include book reviews,
letters-to-the-editor, and republished scientific papers.
Popular publications are publications meant to transfer knowledge to non-professionals. Publications in dutch
magazines like "Natuur & techniek" (popular science) or "de Boerderij" (targeting farmers) are popular publications.
Journal- and book editorials are not considered real publications, but are called "products of scientific work". Therefore, for these products
the option: "other scientific products" is available for this publications.
For some publications, some options have been disabled. For instance, it is not possible to generate scientific
reports or bookreviews. Only journal and book editorials have the option "other scientific products" enabled.
A dissertation should always contain reviewed scientific publications. Therefore METIS needs to know whether
the dissertation is prepared and defended in our institute. Four options are available here:
1) The dissertation has been prepared and defended internally (respectively at CML and at Leiden University).
2) The dissertation has been prepared at CML, but defended at another university.
3) The dissertation has been defended internally (Leiden University), but prepared at another institute.
4) The dissertation has been prepared and defended somewhere else.
This fourth option has been disabled, because CML cannot receive credits for an external dissertation.
Box for additional information
In this field, you are free to enter some additional information on your publication. Furthermore, you should
use this field when the publication has more then four authors or editors. Please enter the same information on
these additional authors/editors, as was asked for the first four (that is: surname, intitials, prefix, and
sometimes the institution).
Some examples of the information you can provide:
- Series of a book or report (in case it's not a seperate field)
- ISBN (for books) or ISSN (for journals) numbers
- link to the internetsite where you can download the publication
- short summary or discription of the publication
5. Frequently asked questions
How do I know if a publication is successfully transmitted ?
- If you press the send button a confirmation-screen should appear.
You can also contact the METIS manager or the department coordinator.
I have written an abstract for a conference or poster session. Should I enter this as a publication?
- No, If this volume is distributed among the conference participants.
- Yes.
I am one of the editors of a book and I have written one or more chapters in it. How should I .. this?
- You should fill in one form for the editorship, and one form for each chapter you
contributed to.Each form you fill in will all count as separate publications.
I am the (co)writer of multiple chapters in a book. Do I have to fill-in a form for each chapter?
- Yes, you have to fill-in a form for each chapter. There is however, a way to simplify this.
First completely fill in the first chapter, and push the send button.
Then, press the ‘back’ button on Internet Explorer. You can now change the data in the
fields on the chapter.
For a few years, I am a editor of a scientific journal. Can I enter this.?
- Yes; you should enter this as a journal editorship each year.
